What goes on the receipt
Each line is a stretch of care with its first and last day and what the family paid for it, so a weekly sitter adds one line a week. The receipt lists every line, the total, your name, address and taxpayer number, and ends with your signature and a line saying you gave the care on those dates. A dependent care FSA pays for care once it has been given, so the dates matter more than the day you were paid (IRS Chief Counsel Advice 202317020). Your number is what the parent needs for Form 2441; Form W-10 says that for an individual it is the Social Security number.
Caring for several families, or for the whole year? Keep a payment log and print every family's statement at once. Running a summer day camp? See camp receipts.
Questions sitters ask
What does a dependent care FSA need on a babysitting receipt?
The dates you gave care and the amount for that care, from you rather than the parent. IRS Chief Counsel Advice 202317020 describes a provider's statement of the dates and amounts as the record for a claim, and says the expense counts when the care is given, not when it is paid. A plan may also have its own claim form to sign.
Do I have to put my Social Security number on it?
The parent has to report your name, address and taxpayer number on Form 2441. Form W-10 says that for individuals it is the Social Security number (an ITIN only for someone who can't get one). The number is hidden on screen here and printed in full.
Can a family pay any babysitter from the FSA?
The care has to let the parents work or look for work (IRS Publication 503). The Form 2441 instructions rule out paying a spouse, the child's parent, someone the family claims as a dependent, or the family's own child under 19. A date night normally does not count.
I am a nanny paid every week. Do I write a receipt each time?
No. Add a line for each week or each stretch of care, with its dates and amount, and print one receipt for as many weeks as the family wants to claim. The Form 2441 instructions say nannies are generally household employees, so the family may also have employer tax to file.
I care for several families all year. Is there more?
Yes. The payment log on the main page keeps every family's payments and prints a year-end statement or FSA receipts for all of them at once.
